Overview

We collect the information needed to run a Discord-linked roleplay community: your Discord identity, your website account, your community profile, and the operational records created by the CAD and game bridge. We do not sell your personal information, and we do not use advertising or cross-site tracking cookies.

What we collect

Discord account information

When you sign in with Discord, Discord provides your user ID, username, display name, avatar and server membership. If the community bot is configured, we may also receive your Discord role IDs in the Living State server. We do not receive your Discord password.

Website account and profile

We store your website role and account status, profile bio, timezone, account creation date, last login time, session records and audit entries for staff actions. The owner and staff can see account information needed to manage the community.

CAD and game-bridge data

The CAD stores calls, call notes, unit names, callsigns, departments, live positions, timestamps and assignment history. Player and plate lookups can include in-game character identifiers, vehicle details and other roleplay records returned by the game server. Staff actions in the CAD may be logged.

Technical and security information

Our hosting and infrastructure providers may process IP address, browser or device information, request timestamps, requested URLs and error logs to deliver the Services, prevent abuse and investigate security incidents. We do not use this information for advertising.

Communications and donations

If you email us, we receive your email address, message and any information you choose to include. Donations are handled by the payment provider linked from the site; we do not receive or store full payment card numbers.

How we use it

• Authenticate you with Discord and maintain your website session.
• Confirm that you meet the community’s Discord server requirement.
• Display your profile, role and account status to you and authorized staff.
• Operate the CAD, deliver calls and unit positions, and return game-server lookups.
• Moderate the community, enforce the rules and review staff actions.
• Protect the Services against abuse, fraud, unauthorized access and attacks.
• Respond to support, privacy and legal requests.
• Understand whether the Services are working and improve them.

Where data-protection law requires a legal basis, we rely on performance of our agreement with you, our legitimate interests in running and protecting the community, your consent where we ask for it, and compliance with legal obligations.

Cookies and local storage

We use a small number of essential cookies. We do not use advertising cookies or third-party analytics cookies.

• lw_session — keeps you signed in to the website. It is HttpOnly, SameSite=Lax, expires after seven days and is marked Secure on HTTPS.
• lw_oauth_state — protects the Discord sign-in flow against cross-site request forgery. It expires after ten minutes.
• lw_linked_state — protects the optional Discord Linked Roles connection flow. It expires after ten minutes.

Discord may set its own cookies when you visit its OAuth pages. Those cookies are controlled by Discord, not us. You can clear or block cookies in your browser, but blocking the essential cookies will prevent sign-in and the CAD from working.

Sharing

We do not sell your personal information. We share information only as needed to operate the Services:

• Discord — to authenticate you, read your profile and server membership, and update optional Linked Roles metadata.
• Cloudflare — to host the website, Worker, static assets and D1 database, and to protect the Services.
• The Living State game server — to receive CAD calls and lookups and to send unit positions through the authenticated bridge.
• Authorized community staff — to manage accounts, dispatch calls and moderate the community.
• Payment and service providers — if you choose to donate or use a linked third-party service.
• Legal and safety recipients — when required by law, or when we believe disclosure is necessary to protect a person, the community or our rights.

If the community is reorganized, transferred or merged, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.

Retention

We keep account and profile information while your account is active and for as long as needed to operate the community, resolve disputes, enforce the rules and meet legal obligations. Sessions expire after seven days. OAuth state cookies expire after ten minutes.

CAD calls, lookup records, unit positions and audit entries may be retained for operational, security and moderation purposes. Stale unit positions are cleaned up automatically, and lookup records are pruned periodically. Some records may remain in backups or logs for a limited time after deletion from the active database.

If you ask us to delete your account, we will remove or anonymize information that is no longer needed. We may retain limited records when required for security, fraud prevention, legal compliance or the protection of other people.

Security

We use reasonable technical and organizational measures, including HTTPS, HttpOnly session cookies, access controls, a private bridge secret and restricted staff access. No system is perfectly secure, and we cannot guarantee that unauthorized access, loss or misuse will never occur.

If you believe your account or the Services have been compromised, contact webmaster@gaminghq.biz and change your Discord credentials. Do not send passwords, bot tokens, webhook URLs or session cookies by email.

Your choices and rights

Depending on where you live, you may have the right to request access to your personal information, correct it, delete it, restrict or object to certain processing, receive a portable copy, or withdraw consent. You may also have the right to complain to your local data-protection authority.

To make a request, email webmaster@gaminghq.biz from the address associated with your concern and include your Discord username. We may ask you to verify control of the Discord account before acting. We will not discriminate against you for exercising a privacy right.

You can stop using the Services at any time. You can also remove the Discord application’s access through Discord’s authorized-apps settings, though this may prevent you from signing in.

Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. You must also meet Discord’s minimum age and any higher age requirement applied by the community. If you believe a child under 13 has provided information, contact us so we can address it.

International transfers

Richard & Sons Trucking and the service providers we use may process information in the United States and other countries. Those countries may have different data-protection laws from your own. Where required, we use appropriate safeguards for cross-border transfers. Discord and Cloudflare provide their own information about their transfer practices.

Changes

We may update this Privacy Policy to reflect changes to the Services, our providers or the law. We will post the updated policy on this page and change the effective date. If a change is material, we will make a reasonable effort to announce it on the website or in Discord.
